Job Description:

The Grants Coordinator will support multiple types of grantmaking, including Donor Advised Funds (DAF) grants, Competitive/Programmatic grants, Funder Collaborative grants, Designated grants, Supporting Organization grants, and Affiliated Entities grants. The Grants Coordinator’s main focus will be to support the processing of DAF grant recommendations, but they will assist with the other types of grantmaking, as needed.

Donor Advised Fund (DAF) Grants

  • Receive grant recommendations through the Trust’s online submission system and the Northern Trust online submission system
  • Verify grantee 501(c)3 eligibility via online research or direct calls to agencies
  • Create and update grantee organization profiles in the online submission systems
  • Produce dockets of grant recommendations for staff approval
  • Submit approved recommendations to the finance department for payment processing
  • Coordinate the mailing of grant checks and award letters
  • Respond to DAF grantee questions via email and telephone and use judgement in referring questions to the appropriate colleagues when needed

Competitive / Programmatic Grants

  • Support the Grants Manager in maintaining the online grants management system, including data entry and reporting
  • Provide customer service and technical guidance to applicants, grantees, and staff; respond to applicant and grantee questions via email and telephone
  • Assist in collecting and tracking grant documentation (applications, grantee reports, correspondence, grant agreements, payment contingency forms, etc.), create associated records, and upload materials to database, as needed
  • Assist in compiling data and information for Board materials and the Trust’s delegated approval process


  • Assist with data entry and grant processing for Affiliated Entity grants, Supporting Organization grants, Designated grants, and Funder Collaborative grants
  • Undertake special projects as assigned

Experience and Skills:

Position Qualifications:

  • 2+ years of relevant job experience, preferably in foundation grants management; experience with donor advised funds helpful but not required
  • Online database management experience required; Salesforce experience preferred
  • Advanced computer skills required and proficiency with Microsoft Office software applications
  • Must be customer service oriented
  • Ability to manage multiple priorities and the capacity to meet competing deadlines
  • Must be extremely organized and detail oriented with the ability to follow-up on outstanding tasks, as needed
  • Ability to exercise judgment in the application of policies and procedures
  • Ability to maintain confidentiality of records and information
  • Flexible attitude to assume additional responsibilities as assigned
  • Bachelor’s degree preferred
